FOTOVENT / FotoVent guide
Find the next step.
Keep the screen working.
An event in FotoVent is a container for a playlist and its settings. It can be a conference, a lunch menu or a shop-window promotion.
1. Choose your workflow
Use Desktop for playback from a computer, Connect to reach that computer remotely, or Cloud for hosted content and browser players. For a quick Cloud test: register, verify your email, activate Free and upload a few photos.
2. Create and select an event
Name it for the content you will recognise: “Lunch menu”, “Reception” or “Summer collection”. Selecting it in the panel edits that event; it does not automatically assign it to a monitor.
3. Upload and arrange
Wait for conversion and a preview before playing a file. Reorder the playlist, rotate photos and use Show/Hide to include or exclude an item. Cloud retains optimised copies, so keep your originals.
4. Resolution and orientation
Choose Full HD or 4K and portrait or landscape for the project. Conversion preserves proportions; it cannot recover missing source detail. Check the result on your display.
5. Playback controls
Play resumes the selected event, Pause holds it, Holding screen displays your waiting message and Restart begins the sequence again. Check which monitors are assigned to that event before changing its playback.
6. Pair a monitor
Open play.fotovent.it, enter the customer code and confirm the displayed code in the portal. For kiosk devices, a direct link claims a monitor slot on first use and allows one concurrent player. Keep that link private. An offline monitor still occupies a slot until disconnected.
7. Schedule content
Cloud Pro and Business let you choose weekdays, start and end times, events and a fallback outside scheduled slots. Check the monitor’s time zone and displayed local time. Scheduling does not power on the hardware or launch its browser.
8. Brightness
100% shows the picture normally; 0% makes it black. This is software dimming, not control of the screen backlight. Use the slider to preview a change, then save the appropriate schedule. A grouped monitor follows its group settings.
9. Monitor groups
A monitor belongs to one group at a time. Groups share schedules, time zone and brightness; audio and orientation remain individual. Groups require Cloud Pro or Business.
10. Coordinated starts
Coordination is set on the event, not on a group. Players using that event start content together, with a short wait where necessary. This is not a frame-accurate videowall. Test video loops on the real hardware; BrightSign compatibility settings remain separate.
11. Retention
Choose a continuous installation or a deletion date for temporary content. Confirm the date before saving. Cloud deletion affects hosted copies, not originals you keep elsewhere. A full storage allowance and an expired subscription are different conditions.
12. People and permissions
Invite colleagues with their own accounts. Give photographers only the controls they need. Guest QR upload is upload-only; configure the event privacy information and moderation before enabling it.
13. Understand your allowance
Monitor slots count paired devices, including offline ones. Storage measures hosted copies. Conversion allowances measure new processing. Playback does not consume another conversion. Add-ons require an active eligible Cloud plan.
14. Purchases and billing
Check your billing profile and confirm it at checkout. Ordinary Italian VAT uses automatic invoicing after confirmed payment. Request a review for international or special VAT treatment before paying. Disconnecting a monitor does not cancel a subscription.
15. Your account
Manage billing details, marketing preferences and Authenticator from your account. Keep recovery codes safe. Account closure and subscription cancellation are separate actions; read the effects shown before confirming.
16. A screen is black or a file will not play
Check the assigned event, Play/Pause, holding screen, brightness and schedule. Confirm conversion is complete and the item is visible. Remote reload briefly interrupts playback; audio or full-screen may still need a local action.
